Sections and Units

 

 First: The College Sections

The College of Dentistry contains the following sections:

Ø Registration and Student Affairs Section:

It includes three units:

1.     The registration unit, which undertakes the tasks of receiving new students, registering them in the college, and providing them with graduation documents after they complete the legal period of study in the College of Dentistry.

2.    Students Affairs Unit receives students, promotes their requests, directs them regarding official working hours, announces study and exam schedules, lists students, distributes them to groups, follows up on student registration in the dormitory house, and issues IDs. It is the link between students and the college dean.

3.    Documentation and Certification Unit:

The tasks of this unit are:

A.    Issuing graduation certificates for various governmental and non-governmental institutions within Iraq and for all graduates of the College.

B.    Issuing graduation murals for all college graduates.

C.    Preparation, organization and issuance of graduation documents in both Arabic and English (grades and without degrees) for all graduates of the College.

D.   Issuing study confirmation books in English for all graduates.

E.    Auditing graduation murals and graduation documents for college graduates received from various government agencies.

 

Ø Section of Quality Assurance and Academic Performance

It seeks to build an effective system for quality assurance in the college, spreading the culture of quality and accreditation among all employees, and continuing work to develop and improve the performance of the college based on the vision and mission of the college. This section is linked to the college dean’s office, and it includes the following units:

1.    Quality Assurance Unit

2.   Performance Evaluation Unit

3.   Training and technical support unit

4.   Laboratory Accreditation Unit

 

Section Tasks

A.    Developing and consolidating the culture of quality and accreditation in the college through issuing publications and bulletins.

B.    Evaluating the college performance and its educational programs and following up on their implementation.

C.    Preparing plans and providing proposals, advice and guidance necessary to develop and improve the performance of the college and draw strengths and weaknesses.

D.   Establishing foundations and rules and conducting periodic monitoring and follow-up to implement quality assurance and accreditation standards.

E.    Monitoring the college’s efficiency in terms of infrastructure, educational activities, and the level of interaction with the community.

F.    Coordination and direct communication with the corresponding departments, as well as local and international institutions to benefit and exchange experiences and access to the services provided by them.

G.   Organizing and participating in conferences, seminars and workshops at various levels, whether local or international.

 

Ø Media and Public Relations Section

It is responsible for highlighting the special activities in the college and supervising the activities that highlight the facade of the college during the year.

It is responsible for organizing and coordinating the scientific programs and seminars provided by the branches of the college.

working with all diligence and perseverance to organize annual graduation ceremonies and introductory parties for students in the first stage in addition to organizing the visit of delegations to the college in terms of coordinating and securing meetings with the college officials according to the organizational level and working to highlight the activities within the various media outlets.

The Public Relations and Media Section is the official facade of the college and the window through which the communication, interaction, and coordination between the Presidency of the University as well as communication with some departments of the State and educational institutions related to reach the goals. 

 

Second: The College Units

The College of Dentistry contains the following units:

Ø The College Administrative Units

1.    Administrative Unit

The administrative unit in the college is responsible for issuing administrative orders related to employee and teaching affairs, issuing and supplying official books, issuing appointment orders, issuing separation and commencement orders, granting leave forms for employees and teaching staff, keeping personal files, sending mail to and from the college, approaching official departments, saving and archiving files. Personal work, completing individual work, bonuses and promotions, as well as completing the monthly position of the college staff.

 

2.   Maintenance and Service Unit

The unit is responsible for the maintenance and provision of services to all components of the college, which includes all civil, mechanical, electrical, agricultural and service maintenance and maintenance of medical and laboratory equipment.

 

3.   Legal Unit

The unit is responsible for participating in investigative committees in the college for teachers, employees, and students, signing transactions related to the work of the unit, following up on lawsuits filed by the college against others and vice versa, combating administrative and financial corruption in the college to ensure and implement regulations, laws, and instructions issued by higher authorities, providing consultations. Legal services to clarify legal texts or express a legal opinion on a specific issue for any administrative unit in the college.

 

4.   Accounts Unit

The Finance and Accounts Unit organizes the payrolls and pays them on time, withdraws the outstanding advances and pay them to the Procurement Committee, organize the disbursement documents and record the receipts of the arrest warrant, organize the lists of deductions and pay them to the relevant authorities. The organization of travel lists, allowances, tuition fees, the Fund's secretariat, participation in the annual inventory records, the reconciliation of accounts at the end of the financial year, the preparation of final accounts at the end of each financial year and the liquidation of the Higher Education Fund accounts.

 

5.   Storage and Warehouse Unit

The warehouse unit takes the materials purchased from the markets or received from the university warehouses, directing the materials to the units of the college and according to the need for each unit, and maintaining the stores. The unit handles the inventory of all types of assets at the end of each year. The unit undertakes the process of destroying spent and surplus materials and organizing them with lists, and send them to the concerned bodies at the university.

 

Ø The College Scientific Units

1.    Studies and Planning Unit

This unit is responsible for completing the statistics, preparing the plans, completing the university statistics, and the annual report, in addition to following up the changes that take place in the college at the academic and administrative level and updating the information continuously.

 

2.   Student and Sports Activities Unit

It is responsible for supervising student and sports activities, including preparing sports teams in the college and encouraging their participation in local activities within the university or ministry environment.

 

3.   Educational Guidance Unit

The educational extension unit supervises the students through guidance and prevention of their behavior inside and outside the college. Many students suffer from psychological stress facing them in the street and at home, as well as raising students’ awareness and trying to find solutions to the problems they face.

 

4.   Scientific Affairs and Cultural Relations Unit

The unit is responsible for following up delegations of teaching faculty and staff inside and outside Iraq to participate in conferences, courses and seminars related by the development of higher education and scientific research, following up on scholarships and fellowships for college employees, as well as registration of scientific research and plans for teachers.

 

5.   Continuous Medical Education Unit

This unit is working to provide training courses, workshops, seminars and training courses in various clinical and basic dental specialties in order to benefit from the college’s experience and knowledge so that the college’s members are informed and aware of everything that is modern in the medical fields. Continuing education is the basis for both academic and professional practice. It enables you to maintain and develop your knowledge and skills to stay in line with evolution and modernity within the field of specialization. It is one of the necessities and basics that guarantee continuing professional and academic performance, high-efficient, as well as continuing education is a process of continuous non-stop and continue throughout your career and academic survival to modernize and develop the field of knowledge on an ongoing basis to the culmination of this development in the academic work force.

 

6.   Free Education Unit

It is responsible for the distribution of textbooks to students of the College. The College seeks to provide modern textbooks to cover the increase in the number of students admitted to the college.

 

7.   College Library Unit

The college library contains more than 250 titles of source or auxiliary books distributed over all branches of dentistry, in addition to a large number of CDs for many modern books. The library has been supplemented with 56 new titles of recent books in clinical and basic specialties. The library also contains a number of scientific periodicals and local, Arab and international medical journals.
